Odoo Community for UK small businesses
The free, open-source edition of Odoo, with the UK pieces it is missing added by us: bank imports, automatic matching, a Boxes 1–9 VAT report, retail defaults and more. No per-user licence fees.
Who it is for
UK businesses with 1 to 20 people that want invoicing, bank reconciliation, VAT, sales, stock, a shop till and subscriptions in one system, without paying for Odoo Enterprise per user every month.
Odoo Community covers most of the daily work out of the box. Open-source modules from the Odoo Community Association (OCA) add accounting reports, subscriptions and a helpdesk. Our ten modules close the remaining gaps, and where your business needs something specific, we build a module for your database.
Tested on our own lab
Everything below was run end to end on Odoo 19 Community in October 2026, with real bank statements and test orders.
- Statements from HSBC, Wise (GBP, EUR and USD), Revolut Business and PayPal imported, with closing balances matching the bank to the penny.
- 11 of 12 customer payments matched to invoices by reference; the twelfth by payer name and amount.
- VAT Boxes 1, 4, 6 and 7 matched every bill, invoice and till sale.
- Stock on FIFO: the supplier bill posts to stock and every sale posts its cost of sales. Serial numbers tracked from receipt to sale.
- A minimum stock rule raised the supplier order by itself.
- An online order went from basket to delivery to invoice, with Royal Mail free over £50.
- A till sale in cash, a receipt, and correct entries when the session closed.
- A repair with a part from stock and labour, invoiced in one go.
- Staff expenses with VAT, annual leave and kit assembly.

Our UK modules
Built for Odoo 19 and tested on our lab. The retail and expenses modules install themselves when you add the app they belong to.
- Bank reference match. Reads the invoice number in the bank line and reconciles the payment. Without a reference, it matches by payer name and exact amount.
- PayPal statement import. Imports the PayPal activity CSV with the gross amount and the PayPal fee on separate lines, and checks the balances.
- UK VAT return. Boxes 1–9 from your posted entries, last full quarter by default, exported to Excel for your MTD bridging software.
- UK setup. Import formats for HSBC, Wise and Revolut Business (we add your bank from a sample statement), a clearing account for PayPal card holds, and reconciliation rules for bank fees, interest, own-account transfers, wages and HMRC.
- Subscription wallet. Customers prepay into a wallet; subscription invoices are paid from it automatically, and top-ups count only once they are paid.
- UK retail setup. A FIFO stock category with automatic stock accounting, a shop till with cash and card, and a Royal Mail rate free over a set amount.
- UK expense accounts. Staff expenses for travel, mileage, meals, phone and gifts post to UK overhead accounts, not to cost of sales.
- Statements in bank order. Banks such as Revolut and HSBC list the newest movement first; the file is read in the right order, so the opening balance always matches the bank.
- Orders by email. Customers email their orders — a UBL file from their own system, their personal Excel order form, or lines like “A1023 x 5”. A draft quotation is created, checked for duplicates and sent back for one-click confirmation; the invoice can follow automatically.
- No paid SMS on deliveries. Switches off the pay-per-message SMS Odoo offers on each delivery. Delivery emails still go out.
Bespoke modules for your database
If your business needs something Odoo does not do, we write a module for it: an import format for your bank or marketplace, extra fields and reports, an automatic rule, a document layout, or a link to a system you already use. We test it on a copy of your database first, then install it on the live one.
Bespoke modules are licensed to your company for use in your database and are not transferable. They are covered by our support and updated when your database moves to a new Odoo version.
Bespoke work is quoted in writing before we start and paid separately, either as a fixed price or from your prepaid block of hours. The quote includes the licence for your database.
When Enterprise is the better choice
- Filing VAT from inside Odoo. In Odoo 19, direct MTD submission to HMRC is an Enterprise feature. With Community you submit the Boxes 1–9 figures through HMRC-recognised bridging software, which takes a few minutes per quarter.
- Live bank feeds. With Community you download statements and upload them.
- Scanner-led warehouses and carrier labels. The Enterprise Barcode app and carrier integrations have no ready Community replacement for Odoo 19 yet.
- Studio, Planning, Appointments and the AI features.
- UK payroll is not ready-made in either edition. Enterprise has a Payroll app, but PAYE, NI and pension rules have to be set up by hand, and RTI still goes through separate software.
If any of these is essential, we will tell you so and implement Enterprise instead.

How we deliver it
- Template database. You start from our tested Odoo 19 template: UK chart of accounts, GBP, OCA modules and our UK modules, with or without VAT, subscriptions, retail, expenses and manufacturing.
- Your data. Company, bank journals, opening balances and your first statements. Send us a sample statement from each bank you use and we set up its import format.
- Bespoke modules, where needed: quoted separately and tested on a copy first.
- Safe changes. Every database can be copied and restored in minutes, so changes are tried on a copy, never on live data.
- Hosting. On our UK-hosted Managed VPS with HTTPS, a protected database manager and regular backups.
What you pay: no Odoo licence; hosting; implementation in prepaid blocks of hours; and, if you want us to look after it, Odoo Care at £195 a month. Odoo Community and OCA modules are open source (LGPL and AGPL); our UK modules come with our implementation and support.

- OCA — the Odoo Community Association, a non-profit that maintains hundreds of free, open-source Odoo modules written and reviewed by Odoo partners and users worldwide. Where the table says “(OCA)”, the feature comes from one of their modules.
- Odoo Community and Odoo Enterprise — the free, open-source edition of Odoo and the paid edition licensed per user by Odoo S.A.
- MTD bridging software — HMRC-recognised software that sends your VAT return figures to HMRC under Making Tax Digital when your accounts system cannot file directly.
- FIFO — first in, first out: stock is costed at the price of the oldest units still on the shelf.
