What we usually find in a practice

Accountancy firms tend to grow their IT the same way: a laptop here, a licence there, a server that someone set up years ago and nobody has logged into since. It works until the week it matters most.

  • Multi-factor authentication is patchy. HMRC now requires it on Agent Services accounts, but it is often switched on for the partner and forgotten for everyone else.
  • Making Tax Digital has changed the shape of the year. From April 2026 income tax reporting became mandatory for sole traders and landlords above the £50,000 threshold, with a lower threshold following in 2027. More filings, more client data moving, more that must not break.
  • Records need to survive six years, not six months. Cloud accounting platforms are not a backup, and neither is Microsoft 365 on its own.
  • The phishing is targeted. Fake HMRC deadlines and fake Companies House notices arrive in accountancy inboxes because that is where they work.
  • January cannot be the month you discover a problem. Slow machines and a fragile internet line are an inconvenience in June and a crisis at the self-assessment deadline.

We do not support those applications themselves; their vendors do. We make sure the machines, network and access underneath them are never the reason something fails
  • Workstations, laptops and remote working for staff and contractors
  • New joiners and leavers — accounts created properly, and closed properly
  • Business-grade internet with a plan for the day it fails

Where the risk sits

  • Multi-factor authentication across every account that touches client or HMRC data
  • Email filtering and impersonation controls tuned for HMRC and Companies House lookalikes
  • Separate, tested backup of Microsoft 365 and practice data with retention that matches your obligations
  • Device encryption and a written record of who has access to what
  • Staff who can recognise the emails aimed at them — short, practical sessions, not an annual video

On compliance, plainly

ICAEW, ACCA and AAT all expect members to keep proportionate controls over client data, and Cyber Essentials is the baseline most professional bodies and insurers point to. We are an IT provider, not a compliance consultancy: we will not tell you that installing our support makes your practice compliant.

What we do is make the technical side defensible — controls that exist, are switched on for everyone, and can be evidenced when your professional body, your insurer or a client asks. If you want to work towards Cyber Essentials certification, we will get the technical requirements in place and tell you honestly what is still missing.
