What makes agency IT awkward
An agency runs on high-value transactions, a lot of email and staff who work from cars, viewings and kitchen tables. That combination is exactly what attackers look for.
- Property fraud follows the money. Deposits, completion funds and rent payments make agency mailboxes a target for interception and impersonation.
- AML paperwork is sensitive data you must keep. Identity documents and proof of funds have to be retained and protected — HMRC has issued more anti-money-laundering penalties to estate agency businesses than to any other supervised sector.
- The CRM is the business. Reapit, Alto, Jupix, OpenView and the rest hold everything. The software itself is your vendor’s responsibility, but who can sign in, from which device and from where is ours: access protected by multi-factor authentication and limited by role, not shared around the branch.
- Work happens away from the office. Phones and laptops with client data on them get left in cars, and portal uploads happen from wherever the agent is standing.
- Branches drift apart. Two offices, two ways of doing things, two levels of security — usually discovered during an incident.

- Multi-factor authentication on email and CRM, with sign-ins from unexpected countries blocked
- Email filtering and impersonation controls aimed at payment and completion fraud
- AML and identity documents stored encrypted, with access limited to the people who need it
- Backups kept separate from the live systems and tested by restoring them
- Lost-device response: remote wipe, and a record of what was on it

Your anti-money-laundering obligations and your responsibilities under UK data protection law stay with you. We are an IT provider, and no IT contract transfers them.
What we can do is make the technical side hold up: the records you must keep are stored securely and can be retrieved, access is restricted and logged, personal data is not scattered across personal accounts and unmanaged devices, and you can answer questions about how it is protected. If HMRC or the ICO ever asks, that answer should already exist.
